WACUBO 2024 Annual Conference Terms, Conditions, and Policies

Please be sure to fully review all of the terms, conditions, and policies before registering for the annual conference. 

All WACUBO 2024 Annual Conference attendees and Business Partners must acknowledge and abide by the listed terms, conditions, and policies.

Attendee Cancellation Policy

After registering, if you are not able to attend the conference, we encourage you to send a substitute attendee. You may substitute at any time, even on-site at the conference. However, if you must cancel after you have already paid, we can refund your conference fee, less a $75 cancellation fee. All written cancellation requests must be received by Friday, April 5, 2024. No refunds will be issued after Friday, April 5, 2024. No refunds can be made by WACUBO for lodging, airfare, or any other expenses related to attending the conference. 

Refund Due to Registration Error Policy

The WACUBO Office will audit all non-member attendees at the conclusion of the conference. If eligible for a refund due to being part of a member organization, you will receive a refund for the difference in registration rate after the conference has ended.

Badge Replacement Fee Policy

All attendees must acknowledge that a name badge is required for entry into any section of the conference. If my badge is lost or misplaced, a $10 fee will be levied for the printing of a replacement badge during the conference.

Type of Payment Update Policy

All attendees must be aware that payment is not obligatory during the registration process, and I can choose to be invoiced instead. If I decide to provide payment and later wish to modify the card used for payment, a new invoice will be issued. This must be settled before any refund on the original invoice is processed, subject to a $50 processing fee.

Health and Wellness Policy

Waiver Form in Registration:

Knowingly, and at my own risk, I am participating in the WACUBO 2023 Conference. I do hereby waive release any and all claims against WACUBO (Western Association of College and University Business Officers), all event sponsors and any employees, event contractors, volunteers, or officials of these organizations from any claim of injury (including death) that I may incur as a result of my participation in the event.

I further hereby certify that I have full knowledge of the risks involved in this event. If, however, as a result of my participation in the WACUBO 2024 Conference Optional, I require medical attention, I hereby give consent to authorize medical personnel to provide such medical care as deemed necessary and all medical treatment is my financial responsibility.

Conference Code of Conduct

WACUBO events are community events intended for education, networking, and collaboration. We value the participation of everyone and want all attendees to have an enjoyable and fulfilling experience. Accordingly, all attendees are expected to show respect and courtesy to other attendees throughout all events hosted in the WACUBO space. To make clear what is expected, all attendees, speakers, Business Partners, organizers, and volunteers at any virtual event are required to conform to the following Code of Conduct. Organizers will enforce this code throughout the event. In registering for and/or participating in this event, you consent to comply with the following Code of Conduct. 

Examples of encouraged behavior that contributes to a positive environment include:

  • Using welcoming and inclusive language
  • Being respectful of differing viewpoints and experiences
  • Gracefully accepting constructive criticism
  • Focusing on what is best for everyone at the event
  • Showing empathy toward other participants

We do not tolerate the following:

  • Spam (verbally or in chats), including saying or re-posting the same word/content repeatedly in order to disrupt the conversation
  • Harassment, bullying, and intimidation
  • Harassment and bullying are defined as:
    • Negative comments about race/ethnicity, gender and gender identity, sexual orientation, disability, age, religion, physical appearance, citizenship, or other protected categories
    • Intimidation or threats, including sharing images or text especially to threaten
    • Unwelcome sexual attention, including sharing images or text especially to sexually harass
    • Threatening or other endangerment of minors or any persons
    • Any activity meant to convey or cultivate hostility
    • Ad hominem insults or other attacks
    • Encouraging the above behavior

WACUBO Sustainability

WACUBO is living its values of environmental sustainability and social enterprise in planning the 2024 annual conference.

Beginning with conference check-in, reusable water bottles will be given out upon request to encourage resource conservation. Water stations to fill reusable bottles will be provided by Sustain LA. A certified women-owned and small business, Sustain LA combines best practices and materials for an integrated approach to zero-waste events and living.

WACUBO strives to work with Vendors that share our sustainability values. Marketing products for the WACUBO annual conference were purchased from 4 Imprint, with Corporate Social Responsibility initiatives featuring products that are B Corporation certified and meet standards of the Fair Labor Association. This included the 2024 travel pouches made from 100% recycled materials and the 2024 conference tote made from 100% recycled material ( 80% recycled cotton and 20% recycled polyester).

Project Grow was selected as the recipient of a donation in lieu of gifts to WACUBO conference speakers. With the mission to grow healthy ecosystems, Project Grow offers experiential education programs focusing on the complex environmental disturbances along the urban coast in Orange County, California.  Participants increase their ecological knowledge to actively assist the growth of healthy ecosystems and develop a deeper sense of connection to the community in which they live.
